Challenges
  • The client was still utilizing POP for their email accounts.
  • The client's current wireless network was unstable and seriously hampered their day-to-day operations.
  • No client data was being correctly backed up, including crucial accounting information that must be preserved.
Solution
  • Migrate all of the client’s email accounts to Microsoft 365.
  • Disconnect the NAS device from the premises and transfer any remaining data to Microsoft SharePoint.
  • Ubiquiti UniFi enterprise-grade wireless were used in place of the outdated Wireless Access Point.
  • To keep the client's data safe, implement both an offsite backup solution and a specific cloud-based Microsoft 365 backup service.
Outcome
  • All employees and volunteers now use Microsoft 365 for email, and the most recent version of Outlook is set up on their computers and mobile devices.
  • Daily backups of specific mailboxes are made and kept for a period of 30 days, while snapshots of complete accounts are kept for as long as necessary.

The Project scope

Making a transition to Microsoft 365.
  • The migration of all of the clients' current email accounts to Microsoft 365 was our first duty.
  • This included any current task lists and calendar entries.
  • After completing the initial migration to Office 365, we reviewed and tested each account in a sandbox setting before concluding the rollout. We then removed the previous version of Outlook from every computer on-site before installing the most recent version via Microsoft 365.
  • Then, after setting up and testing each user's new email accounts, we made sure that all of the emails were current and that no data had been lost during the move.
Replacing the NAS device with SharePoint Online
The client's outdated network attached storage device needed to be retired and replaced with Microsoft SharePoint Online, which is a feature of the Microsoft 365 subscription the customer has chosen. A new SharePoint site was created by a member of our project management team and was specifically tailored to the client's needs. Before retiring the NAS device, we transferred all of their business-critical data onto SharePoint and made a separate backup of it all.
Updating the wireless network
The client's failing Wireless Access Point had to be replaced with a Ubiquiti UniFi Indoor Wireless system, which we believe to be one of the most reliable and economical wireless connectivity options currently on the market. Two access points were set up and installed—one on the ground floor and the other on the second story. Then, we connected the two access points so they could function as one wireless network on both levels without reducing their wireless range!
Implementing the online backup solutions
Our next duty after migrating the client's data and emails to Microsoft 365 was to set up and install a scheduled backup solution for their email and data.
We set up and established a customized cloud-based backup service for the client's emails that is designed especially for businesses that want to back up their Microsoft 365 email accounts.
This was set up to conduct a daily incremental backup of each user's mailboxes, calendars, and other data, like task lists, in addition to their calendars and other data.
The service keeps backups for up to 30 days, and you may restore individual emails or full mailboxes.
In addition to the client’s accounts database, we set up and installed a second cloud-based backup solution that also takes an incremental backup of any files and folders located on SharePoint.
This data is all backed up in the cloud and stored there for a maximum of two months.
The outcome
Over a week, the entire job was effectively finished. The following Monday, our Project Manager visited the site to address any post-project issues and make sure the network was operating properly.
The implementation of the latest Ubiquiti Wireless hardware, the client now enjoys reliable, ultra-fast wireless connectivity with no dead spots. Staff members use Microsoft 365 for emails, ensuring no data loss and easy access to Outlook. All users have the latest version of Microsoft Outlook included in their Microsoft 365 Business subscription. Company data can be securely accessed from anywhere through Microsoft SharePoint Online. Additionally, all SharePoint data and the Sage accounting database are backed up daily to a secure Cloud Backup solution
